Most of our customers forward their office line to us, either manually when they come and go, or they have calls set up to roll to us automatically after so many rings.  To do this, you will need some kind of call-forwarding service for small businesses from your telephone company.  See the Getting Your Calls to Us section on this page for more information on some of the call-forwarding options available.

We will provide you with a unique number especially for your company and you can forward your main line to this number.  When a call comes in on that number, the name of your company, how to answer the phone, and all your instructions are presented to the receptionist along with the call.  We can then answer in your company name and follow instructions specifically for your office.

Your instructions can include having us transfer the call to a specific person, taking a message, or contacting someone if it is urgent.

If a message is taken, it can be e-mailed or texted to you immediately.  Text messages will usually arrive on your phone in seconds.

Getting Your Calls to Us

Call Forwarding

Telephone answering service with call-forwarding is a service you get from your local telephone company.  You may already have it on your line (it is commonly part of the basic service package for a business line).

With Call-Forwarding, you pick up line one on your phone, enter a code plus a number to turn on call-forwarding.  To turn it off, you pick up line one and dial a slightly different code.  You can basically turn it on and off like a light switch.  Your phone company will give you the codes and instructions when you add the service.

This method is commonly used by clients when they want us to answer all the time, or long blocks of time (e.g., when they leave the office, go into a meeting, etc.).

Call Forward Busy Line/Don’t Answer

This is another service you get from your telephone company for your answering services for small businesses.  It is an automated version of call forwarding.

With this telephone answering service you are basically telling the telephone company “Whenever I get a call, if it rings over a certain number of times or the lines are all busy, I want the call to forward to this other number automatically.”

Using this makes us a great backup to an existing receptionist — you answer normally, but we are always there as a backup in case you ever get busy, or the receptionist is away from her desk.  It’s like an insurance policy to make sure you never miss an important call.

Other Options

If you have VOIP phone service (e.g., ComCast, Time Warner, or Vonage), you should have the above features included in your basic package.  Check your on-line control panel, or call your provider for details on call-forwarding options.

It is also possible to get a number that is permanently forwarded to us.  If you get a local number from a phone company, it is called a Tele-Branch number.   You can also get a toll-free number from a long-distance provider.
